Identity and contact details: name, email address, mobile number.
Payment and billing information, processed by Stripe. We do not see or store your full card details.
Training and account data: your credit balance and expiry, bookings, attendance, membership status, and the consents you gave at checkout.
Health and lifestyle information you share through onboarding forms, consultations or before a session, such as injuries, conditions, medication, pregnancy, dietary needs and fitness goals.
Website usage data, cookies and analytics.
Running your account, taking payment, confirming bookings and texting your credit balance — contract.
Delivering coaching, programmes and sessions — contract.
Keeping financial and tax records — legal obligation.
Improving our services, security and client experience — legitimate interests.
Sending marketing emails and texts — consent.
Using your photos, testimonials or name in promotion — consent.
Health information is special category data. We rely on your explicit consent under Article 9(2)(a) of the UK GDPR to hold and use it, so that we can train you safely. You give that consent when you complete the health declaration. You can withdraw it at any time by emailing us, though without it we may not be able to train you safely and may have to stop providing sessions.
There are two kinds, and they work differently.
Service messages — booking confirmations, cancellations, credit balances, expiry reminders and payment problems. These are part of the service you bought and you receive them while your pack or membership is active. You cannot opt out of these and keep using the booking system.
Marketing messages — offers, new programmes and content. We only send these if you opt in, and you can stop them at any time by replying STOP to a text, using the unsubscribe link in an email, or emailing us.
We share information only where it is needed to run the business:
Stripe, for payment processing
Propane, for CRM, booking, email and SMS
Trainerize, for training programme delivery
Google Workspace, for email and documents
Our accountant, and where legally required, HMRC or other authorities
We do not sell your information. Where a provider processes data outside the UK, that transfer is covered by UK adequacy regulations or standard contractual clauses.
Financial and transaction records: 6 years from the end of the tax year, as HMRC requires.
Health declarations and training records: 6 years after you stop training with us.
Everything else: 12 months after you stop being an active client, then securely deleted or anonymised.
Your information is stored on encrypted, password-protected systems.
You have the right to access your information, to have it corrected, to have it erased, to restrict or object to how we process it, to data portability, and to withdraw consent at any time where consent is our basis.
